We are currently seeking a proposal coordinator to join our joint venture team to assist in the development of a major infrastructure projects for the State of Victoria. Our joint venture team is a group of some of the world's leading providers of engineering and construction services, and technologies to the transportation industry. Together we have designed and built major and complex, award winning roads, rail, bridges, and tunnels across the world.
The Role:
The proposal coordinator will be part of the Proposal Submissions Team reporting to the Submissions Manager and will be working with desktop publishers, graphic artists and other support personnel. The Proposal Submissions Team has the responsibility of managing, coordinating and monitoring the development of documents as requested in the Request for Tender (RFT). The Proposal Submissions Team works closely with various other team members in the joint venture team to ensure the timely delivery of document deliverables at various stage gates and ensuring they meet the requirements of the RFT. Ultimately, the Proposal Submissions Team ensures that the final submission is produced to a high level of quality and professionalism, and delivered on time.
The proposal coordinator will be joining a highly motivated and dedicated team and will expect that there will some long hours and weekend work required.
The position is a contract role for a period of 4 months. Start date is as soon as possible.

Key skills that we require for the role include:
• At least 4-5 years specific proposal coordination experience
• Previous proposal coordination experience: large and complex infrastructure proposals (preferred); engineering/construction industry; and working with multiple stakeholders
• Strong understanding of the bid/proposal process from: monitoring and adhering to proposal schedules; coordinating review processes; coordinating the production of the final proposal
• Understands the requirements of RFTs, how to best address and respond to them, and ensure that they are compliant
• Strong project management/coordination/organisation skills: understands priorities and the time taken to achieve tasks and plan them; takes responsibility to ensure that tasks are completed on time and to a high level of quality; and able to communicate and request information from senior level executives, management and peers.
• Able to work and communicate with people of all levels
• Very strong English written and grammar skills (essential): will be required to proof read and edit documents in line with the proposal writing guidelines
• Very strong skills working in Word, Excel, and Powerpoint skills (essential): will be required to do some formatting of complex documents
• Able to confidently to delegate and communicate tasks to be completed by supporting desktop publishers and graphic artists
• High level of attention to detail and quality
• Knowledge of Adobe programs such as Illustrator, Indesign, and Photoshop (desirable but will be highly regarded)
• Degree in journalism and/or marketing (desirable)
