Medical HR/IR Tech
Contract thru March 2020
$19 - $23/hr
40 hours per week
Scope
The purpose of this Human Resource/Information Records (HR/IR) position is to perform assigned tasks of intermediate scope which are tactical and administrative in nature following established Company procedures and support the Company’s Human Resource professionals. The position may act as the lead HR/IR technician in an office or department.
Principal Job Duties & Responsibilities
- Create and maintain employee and/or contractor records (electronic and hard copy files)
- Maintain and update information in databases and Human Resource information system (HRIS)
- Assist higher level staff in the preparation of most complex ad hoc statistical summaries and reports from HRIS, as requested
- Develop and maintain a thorough understanding of Company specific Human Resource standards, policies, programs, and goals by applying procedures as established by the Company or local department
- Administer and process HR documents
- Prepare invoices/remittances for payment; reconcile invoices
- Organize and schedule meetings, activities, events, and training sessions
- Assist with communicating and answering customer queries related to HR procedures, policies, and guidelines
- Regularly communicate internally and externally (i.e., candidates, employees, benefits providers, staffing agencies, etc.), as required
- Maintain and preserve strict confidentiality
Benefits
- Assist with the administration of one or more benefit programs and liaise with employees, external benefit providers, and senior benefits specialist/manager
- Advise employees on insurance eligibility and other benefits including amounts of coverage and claim procedures
Compensation
- Assist with general data gathering and standard reporting for survey submissions and compensation programs
- Respond to simple requests for information about salaries, job grades, ranges, etc.
- Provide administrative support for compensation procedures
- Create compensation reports requiring data research and validation against requirement
- Produce standard compensation reports using HR tools and databases
Employee Relations (ER) and HR Compliance (HRC)
- Apply knowledge of ER and HRC programs, processes, and procedures, training other ER and HRC technicians as needed
- Perform complex technician level tasks related to ER and HRC
- Perform administrative duties, including answer phones, file, schedule appointments, coordinate meetings and training logistics, assemble training manuals, enter database information, create and maintain records, prepare presentation materials, and provide additional support to specialists, managers, and directors as needed
- Oversee and/or handle the monitoring of progress on case management close outs, preparing and updating files and statistical summaries
- Oversee and/or handle the documentation of ER and HRC issues and requirements for data gathering, forms processing, and reporting
- Support team-orientation with all levels of employees
- Apply an understanding of the company’s organizational structure, corporate culture, and business objectives
- Maintain good communication and a positive relationship with employees and management
- Maintain a positive ER climate by responding to department or employee questions or concerns, addressing issues proactively and advising ER and HRC management regarding proper company practices
Human Resources Information Systems (HRIS)
- Use HR Data Management applications to resolve advanced questions and problems
- Provide assistance to resolve questions on a broad variety of programs and procedures
- Assist with tracking and processing employee data
- Assist with HRIS data corrections
- Perform basic system updates and data inputs
- Run standard and ad-hoc reports as requested
Mobility Services
- Assist with the administration of one or more mobility programs and liaise with employees, external mobility providers, and senior Mobility Services specialist/manager
- Advise employees on mobility procedures and assist in coordinating services with vendors
- Prepare various management reports and assist with establishing and developing metrics to guide the development of programs and systems
- Assist in training new technicians
Recruiting
- Provide support in sourcing resumes and producing offers of employment for new hires, rehires, and promotions
- Assist with organizing and attend new hire orientation, career fairs, and career events to provide support and possibly present simple material or information to attendees
Typical Minimum Qualifications - Related Education, Experience & Skills
- Four (4) years of experience in HR or Training
- May have experience working with one or more HR function(s) or HR support role
- Demonstrate ability to be discreet with confidential company and employee information
- Proficient computer and software skills to include the use of word processing, email, spreadsheets and electronic presentations.
