Author4MAT Administrator

Overview

TRS Workforce Solutions partnered with a global petrochemicals manufacturer in North America to deliver a new Managed Service Provider (MSP) program for its contingent workforce.

The program was delivered through a two-phase implementation, enabling a rapid MSP launch to maintain business continuity, followed by the deployment of a full Vendor Management System (VMS). Despite compressed timelines and complex requirements, TRS delivered a seamless transition with no disruption to operations.

Two-Phase MSP Program

The Challenge

The client required a new MSP solution that could be mobilised quickly while supporting an existing contractor population and accommodating complex contractual requirements.

Key challenges included:

  • Accelerated mobilisation timelines
  • Contractor migration without business disruption
  • A phased approach to enable later VMS deployment

Strong governance, clear communication, and close collaboration were essential to success.

The Solution

TRS delivered a two-phase MSP implementation, supported by a dedicated and experienced project team.

Phase 1: Accelerated MSP Launch

TRS mobilised immediately following contract award, establishing a joint governance structure and appointing an experienced implementation project manager supported by compliance, finance, and account SMEs.

Key activities included:

  • Migrating the existing contractor population
  • Delivering a structured communications program, including contractor briefings and town halls
  • Collecting and validating onboarding and compliance documentation
  • Implementing an interim timesheet and contract management solution
  • Onboarding specialist suppliers to ensure full geographic and skill coverage

The MSP service went live on schedule, with all contractors successfully transitioned and no disruption to business operations.

Phase 2: VMS Implementation
With the MSP service live, TRS led the accelerated implementation of SAP Fieldglass, delivering the program in 12 weeks, significantly faster than a typical implementation timeline.

The same project team and governance model were retained, ensuring continuity and pace throughout delivery.

Key Workstreams Delivered
  • Process and System Design: Collaborative workshops aligned best practice with client requirements.
  • System Configuration and UAT: Comprehensive testing ensured the solution met operational needs prior to go-live.
  • Systems Integration: Automated integration ensured accurate processing of timesheets, payroll, and invoicing, with the VMS acting as the single source of truth.
  • Communications and Training: Role-based training and clear communications supported adoption across hiring managers, workers, and suppliers.
  • Data Migration: Contractor and assignment data was validated and migrated in partnership with SAP Fieldglass.

                                             Client Perspective

"TRS delivered the program within a highly condensed timeframe. Their responsiveness, change management approach, and quality of service clearly differentiate them from other providers."  Senior Procurement Manager

Results

  • MSP and VMS delivered on time
  • No disruption to payroll or business operations
  • Improved visibility, compliance, and control of the contingent workforce.

Conclusion

By combining accelerated mobilisation with a structured, phased delivery model, TRS successfully established a resilient MSP program that met immediate operational needs while enabling longer-term workforce optimisation.

The program demonstrates TRS' ability to manage complex, time-critical implementations while maintaining business continuity, strong governance, and a positive experience for hiring managers, suppliers, and workers. It also provides a scalable foundation to support future growth and ongoing improvement across the client's contingent workforce.
