Contract Administrator
CORE ACTIVITIES:
• Manage to the assigned Contracts
• Maintain electronic filing of contract documents, correspondence (emails and letters to / from Contractor), contract daily reports, daily LEMs (labour, equipment, and material sheets), invoices, etc.
• Change Management
o Track Potential Changes in CMSi
o Assist Construction with Development of Change Documents (Scopes of Work, Project Deviation Notices, Requests for Contract Action, Etc.)
o Issue Requests for Proposal to Contractors for Changes
o Review Contractor Requests for Changes and Evaluate Entitlement
o Assist Construction with Contract Site Instructions for urgent, low-value (<$25,000) changes
o Prepare Contract Modifications and Contract Modification Routing Guides and Route for Approval
o Issue Contract Modifications to Contractor
o Claims / Potential Claims Mitigation
• Formal Correspondence to Contractors (Letters)
• Invoice Attest and Approval Processing
• Chairing and Preparing Minutes for Weekly (or as required) Contractor Progress Meetings
• Contract Close-Out
REQUIREMENTS:
• Minimum seven years of prior contract administration experience (pre-award and post-award experience)
• Proficiency with Microsoft Office Suite (Word, Excel, Access, PowerPoint) and Adobe Acrobat
• Ability to handle multiple tasks simultaneously
• Excellent communication skills (written and verbal)
• Ability to demonstrate earnestness and authority in Construction Meetings with Contractors and with Construction
• Ability to accept a Site assignment (Kitimat, BC) on a 14x7 rotation
PREFERRED QUALIFICATIONS:
Previous experience working on large projects; managing multiple contracts under various commercial scenarios (T&M, Unit Rate, and Lump Sum)
Strong interpersonal, listening and communications skills, capacity to build trust among internal and external stakeholders
Established track record as self-starter
Demonstrated ability to thrive in high-stress and challenging environments
Team player - ability to influence without authority and support the success of a team
Must have excellent English verbal and writing language skills
