Job Duties & Responsibilities
Project/Contracts Administrator Responsibilities:
- Act as a liaison between the project management team and various departments.
- Ensure contracts are properly managed and executed.
- Escalate requests and assertively manage contract-related issues.
- Provide critical thinking and problem-solving support for contract administration.
- Plan and organize internal company events and distribute branded merchandise.
- Manage and prioritize the leadership team’s email communications.
- Oversee office supplies and resource management to ensure efficiency.
- Record key points, decisions, and outcomes during meetings.
- Assist with documentation for insurance policies and business licenses.
- Support strategic projects, daily operations, and process improvements while maintaining confidentiality.
- Prepare documents, reports, and presentations for meetings.
- Coordinate cross-departmental initiatives to ensure smooth collaboration.
- Organize and prioritize calendars for the leadership team.
- Manage logistics for meetings, including venues and catering.
Requirements:
- 3+ years as an Executive Assistant or similar role supporting senior leadership.
- Bachelor’s degree in Business Administration, Communications, or a related field is an asset.
- Proven ability to handle sensitive information confidentially.
- Strong organizational and multitasking abilities; adaptive to tight deadlines and changing priorities.
- Exceptional writing skills for professional communications.
- Strong interpersonal and verbal communication skills for stakeholder interactions.
- Valid BC Driver’s License and vehicle.
- Technical competence and computer literacy in MS Office suites.
- Critical thinking and excellent soft skills are essential.
- Initiative, preparedness, and problem-solving abilities are crucial.
- Comfortable escalating requests and assertive in their approach.
