Job Description
The Document Controls Specialist is responsible for managing, tracking, and maintaining project documentation in support of Fluor’s engineering, procurement, and construction (EPC) projects. This role ensures the integrity, accuracy, and timely distribution of controlled documents in accordance with Fluor procedures and client requirements.
The position works closely with project teams, including engineering, procurement, construction, and project management, to maintain document control systems and support project execution.
Key Responsibilities
- Implement and maintain document control systems in accordance with Fluor standards and project-specific procedures
- Control the issuance, receipt, and tracking of engineering drawings, specifications, and other project documentation
- Ensure all documents are properly logged, categorized, and stored within designated document management systems (e.g., Aconex, SmartPlant Foundation, SharePoint)
- Coordinate document distribution to internal teams, clients, vendors, and subcontractors
- Maintain document revision control and ensure the latest versions are accessible and properly archived
- Track document status, transmittals, and deliverables to ensure compliance with project schedules
- Prepare and manage document transmittals, reports, and logs
- Perform quality checks on documents to ensure accuracy, completeness, and adherence to naming conventions and standards
- Support audits by maintaining complete and accurate document control records
- Assist with project closeout activities, including final document compilation, archiving, and handover to clients
- Provide training and guidance to project personnel on document control procedures and systems
Basic Qualifications
- High school diploma or equivalent required (Associate’s or Bachelor’s degree preferred)
- Demonstrated experience managing large volumes of technical documentation
- Proficiency with document management systems (e.g., Aconex, Procore, SharePoint, or similar platforms)
- Strong organizational skills and attention to detail
- Ability to work in a fast-paced, deadline-driven project environment
