Position Overview
The Support Administrator provides comprehensive administrative, financial, and business support to plant operations. This role serves as a key liaison between the plant and corporate departments, ensuring smooth communication, financial accuracy, regulatory compliance, and efficient day‑to‑day operations. The position supports financial close activities, budgeting, expense control, facility management, and project coordination while enabling the Plant Manager to focus on operational priorities.
Key Responsibilities
Plant & Administrative Support
Provide administrative, financial, and business operations support for plant activities.
Support the Plant Manager with site‑level initiatives, projects, and operational needs.
Communication & Corporate Liaison
Interface with Corporate Office departments including Accounts Payable, Accounting, Fixed Assets, Risk Management, Fleet Management, Legal, Tax (Property & Sales), Government Affairs, and Safety.
Coordinate and communicate matters impacting plant operations.
Financial Close & Reporting
Support the monthly financial close process, including accruals, account reclasses, capital reporting, HR updates, and variance commentary.
Ensure timely and accurate financial documentation and reporting.
Budgeting & Expense Control
Track and monitor expenses using FIM and MAXIMO systems.
Manage office supply inventory and prepare budget reports using PLANFUL.
Assist the Plant Manager with development and preparation of the annual budget.
Accounts Payable / Accounts Receivable
Process administrative (non‑PO) invoices and receivables.
Maintain accurate AP/AR records to support audit and compliance requirements.
Testing Administration
Serve as the POSS/MASS Test Administrator, administering the Edison Electric Institute (EEI) test to prospective employees.
Community Relations
Support the Plant Manager with community relations activities and outreach efforts.
Facility Management
Oversee office maintenance, repairs, and facility services, including coordination with vendors such as CINTAS and office cleaning services.
Ensure office facilities are safe, functional, and compliant with company standards.
Compliance
Ensure adherence to company policies, administrative standards, safety requirements, and legal regulations.
Post Vistra, Federal, and State (ADP) regulatory notices as required.
Project Management
Lead and support administrative projects such as event planning, office renovations, system implementations, and upgrades (e.g., 2025 MAXIMO Upgrade and FITT implementation).
Coordinate timelines, vendors, and internal stakeholders.
Information & Records Management
Maintain accurate and organized records, including environmental, health and safety, and personnel files.
Scheduling & Coordination
Manage calendars, schedule meetings, coordinate travel and meals, and reserve conference rooms.
Support meeting logistics and executive coordination as needed.
Process Improvement
Develop, implement, and monitor administrative procedures to improve workflow efficiency.
Maintain document control, filing systems, and communication protocols.
Warehouse Support
Manage Warehouse Coordinators (WHCs) and oversee assigned duties and activities.
Other Duties
Perform additional duties and support special projects as assigned by the Plant Manager that impact site operations.
Qualifications
Experience in plant administration, operations support, or business support roles (utilities, industrial, or manufacturing preferred).
Strong financial, organizational, and communication skills.
Experience with ERP/financial systems such as MAXIMO, FIM, and PLANFUL preferred.
Ability to manage multiple priorities in a fast‑paced plant environment.
