TRS Staffing Solutions has an exciting opportunity for an Administrative Assistant to work for one our esteemed clients in Vancouver, BC. This is a minimum 12-month temporary opportunity with possibility permanency after 12-months is served.


Reporting to the Housing & Facilities Manager, the Administrative Assistant will provide support for the housing and maintenance divisions of the Public Works Department. Support will include clerical duties such as, but not limited to filing, printing, and faxing, data entry, maintaining records, managing mail, and answering phones. All work is related to the maintenance and repair/maintenance of records of company facilities including housing and grounds.

DUTIES AND RESPONSIBILITIES:
• Learn departmental rules, tenancy agreements, regulations, and procedures.
• Create payment requests for all invoices in a timely manner code, and acquire appropriate approvals
• Demonstrate initiative to learn about maintenance issues in a home and how to address issues.
• Respond to inquiries from residents and the general public and make referrals as appropriate.
• Record maintenance requests from residents and keep the Housing & Facilities Manager updated.
• Provide timely information and records in support of housing activities
• Maintaining accurate and well-organized records
• Participate and take responsibility for special projects as assigned.
• Assist in scheduling of inspections (move-in/out, annual, etc.).
• Assist in all areas of the Public Works Department, and perform other related duties as required.
• Provide backup if the manager is out of the office


QUALIFICATIONS:
• Completion of Grade 12.
• Primary residence is on a First Nation Reserve or in an Inuit Community is an asset
• Willing to participate in job-related workshops, courses, or training to further skills, knowledge, and competencies as required.
• Must adhere to company policies (i.e. Confidentiality, Code of Conduct, Conflict of Interest).
• Must successfully pass a Criminal Records Check.
• Valid BC driver’s license is an asset


KNOWLEDGE, SKILLS, & ABILITIES:
• Excellent communication skills and demonstrated flexibility, openness, and cooperativeness.
• Ability to work independently and as part of a team.
• Be respectful and demonstrate a great work ethic
• Ability to organize and prioritize time and workload in order to accomplish tasks and meet deadlines.
• Ability to follow verbal and written instructions.
• Attention to detail with strong organizational skills.
• Knowledge of Tsleil-Waututh Nation territory is an asset.
• Working knowledge of MS Office programs

WORKING CONDITIONS:
• Must be reliable, flexible, and willing to work indoors or outdoors as required.
• Ability to lift up to 25 pounds.
• Dynamic environment with frequent interruptions.
• Respond quickly to the reassignment of priorities.
• Remain calm, professional, objective, and constructive, even when faced with hostility.
• Occasional meetings outside normal office hours.
