We are currently seeking an experienced Facility Assistant on a long-term basis within our client’s team of experienced EPC professionals. Based in Aliso Viejo, CA
The Facility Assistant is responsible for supporting the operations of the facility team. The role will serve as the main point of contact between various parties, such as: the site manager, field technicians, project accountant, clients, tenants, and subcontractors. Reports directly to the site manager.
Duties include, but not limited to:
- Liaison between the facilities team & clients, with emphasis on supporting field technicians.
- Maintain work order system & processes; receive client requests for service, create work orders, print PMs, collect completed documents, and update field technician timecards, accordingly.
- Create client estimates, request purchase orders, and maintain project files.
- Assist the project accountant with payroll data entry & timekeeping, and associated tasks.
- Credit card reconciliation.
- Safety data reporting.
- Receive & scan physical mail and maintain office organization (both physical & digital) as needed.
- Special projects on a case-by-case basis.
- Exceptional interpersonal communication, critical thinking, and problem-solving skills.
- Detail orientated individual, with the ability to master a wide variety of software applications.
- Minimum (2) years of administrative experience using Microsoft suite.
- 100% in office work, remote not available.
- High school diploma or equivalent.
- Driver’s license.
- Previous experience in facility or property management industry.
- Previous experience with work orders and purchase orders.
- Introductory accounting courses, or experience.
- SAP experience.

Salary range: $20.50/hr - $27.50/hr. based on experience.
