Facility Assistant

We are currently seeking a Facility Assistant for a long-term basis within our client’s team of experienced professionals. Based in Aliso Viejo, CA

The Facility Assistant is responsible for supporting day-to-day operations of the facility. The role will serve as the initial point of contact between the site manager, field technicians, tenants, subcontractors, and project accountant. Reports directly to the site manager. Duties include, but not limited to:

Work with subcontractors, support field technicians in obtaining quotes, create estimates, issue purchase orders, and maintain project files overall.
Maintain the work order system: create & assign work orders, follow up with outstanding work orders and “STA’s” safety task assessments.
Manage the facility helpline, answer phone calls, respond to emails and receive physical mail.
Maintain files (both physical & digital) such as vehicle mileage log, meter readings and certificates of insurance, etc.
Assist project accountant with obtaining material receipts from field technicians.
Timekeeper and back-up payroll processor.

Job Requirement:

Minimum (2) years of administrative experience, with the desire to learn facility operations.
Detail orientated individual, with the ability to master a wide variety of software applications.
Exceptional customer service & organizational skills.
Ability to communicate effectively with audiences such as management, coworkers, clients, vendors, contractors, and visitors.
High school diploma or equivalent
