Mobilization Coordinator
Location: Perth
Role Overview
The Mobilization Coordinator plays a central role in supporting project mobilization activities across Australia and international locations. This position ensures personnel are onboarded efficiently, compliant with all requirements, and fully prepared for deployment. You’ll work closely with project teams, HR, travel, and external service providers to deliver a seamless end‑to‑end mobilization experience.
Key Responsibilities

Onboarding Management — Coordinate all onboarding activities, ensuring new personnel meet project, client, and regulatory requirements.

Visa & Work Rights Coordination — Manage visa applications, work permits, and compliance documentation for domestic and international mobilizations.

Travel & Logistics — Arrange flights, accommodation, ground transport, and travel itineraries in line with company policies and project schedules.

Medical & Compliance Scheduling — Book pre-employment medicals, drug and alcohol testing, vaccinations, and other compliance checks.

Approval Workflow Processing — Track and process internal approvals for mobilization, demobilization, and personnel changes.

Coding & Data Entry — Maintain accurate project coding, personnel records, and mobilization data across internal systems.

Billing & Cost Tracking — Support invoicing, cost allocation, and reconciliation of mobilization-related expenses.

Stakeholder Communication — Act as a key point of contact for employees, project teams, and external vendors, providing timely updates and support.

Continuous Improvement — Identify opportunities to streamline mobilization processes and enhance the employee experience.
Skills & Experience

Experience in mobilization, onboarding, HR coordination, or travel logistics within large projects or resource/engineering environments.

5 to 10 years' experience

Strong understanding of visa processes, compliance requirements, and workforce mobility.

Excellent organisational skills with the ability to manage competing priorities.

High attention to detail and accuracy in data entry, coding, and documentation.

Strong communication and stakeholder management capabilities.

Proficiency in MS Office and HRIS/travel systems.

Ability to work in a fast-paced, deadline-driven environment.
