The Project Assistant reports directly to the Project Manager and is responsible for all administrative activities that must be performed to ensure timely and efficient project execution. Working together with the Project Management team and task force members, the Project Assistant is responsible for coordination of all administrative tasks described in the Project Administration Practice.

For our client's project we are currently looking for an experienced and enthusiastic Project Administrative Assistant.
The Project Assistant reports directly to the Project Manager and is responsible for all administrative activities that must be performed to ensure timely and efficient project execution. Working together with the Project Management team and task force members, the Project Assistant is responsible for coordination of all administrative tasks described in the Project Administration Practice.
General job description:
- Provide administrative support in a team environment.
- Work closely with the project manager, JV, client and project team.
- Perform a variety of tasks, including written and verbal communication.
- Manage all project-related administrative duties (e.g.: schedule management; meeting coordination - including room reservations, catering, Teams/WebEx; report preparation; presentations; composing correspondence for signature; mail distribution; creating and maintaining electronic project files etc.).
- Organize social events in and out of the company.
- Coordinate global travel arrangements for maximum cost effectiveness, taking into consideration, when necessary, processing times for visa application and adhering to security travel advisories.
- Facilitate visa requests.
- Maintain contact lists.
- Support project management with expense reports.
- Execute ad hoc administrative tasks related to the project and its team.
Job requirements:
- Full time (40 hours/week) on a hybrid basis in accordance with the project management.
- Proficient in standard software used (MS365), creating spreadsheets and presentations, e-mail file management/storage and database management.
- Excellent interpersonal and communication skills, both written and verbal.
- Client (both in- and external) focused.
- Team player with a flexible attitude.
- Good organizational skills.
- Handles stressful situations.
- Proactive.
- Fluent in English.
