Receptionist

Summary

As a Receptionist, you will be the first point of contact for my Client. Our Receptionist’s duties include offering administrative support across the organization. You will welcome guests and greet people who visit the business. You will also coordinate front-desk activities, including distributing correspondence and redirecting phone calls.

Responsibilities

• Greet and direct all visitors including clients, employees and vendors issuing visitor badges.
• Answer, screen and forward incoming calls / emails when necessary.
• Ensure reception area is tidy and presentable at all times.
• Provide basic and accurate information in person and via phone / email.
• Maintain office security by following safety procedures and controlling access via the front reception desk.
• File important documents and keep organized.
• Data input when required for security, Fitness studio, and parking.
• Perform other clerical duties when assigned.
• Ability to learn new systems – badge, security systems, visitor logs etc.
• Solid written and verbal communication skills.
• Excellent organization skills.
• Multi-tasking and time management skills, with ability to prioritize tasks.
• Strong customer service attitude.
• Office management a plus.
• Handle administrative projects, including overflow work from other departments and executive assistants.
• Enthusiastic and personable.

Qualifications

• Proven work experience as a Receptionist, Front Office Representative or similar role
• Proficiency in Microsoft Office Suite
• Hands-on experience with office equipment (e.g., fax machines and printers)
• Professional attitude and appearance
• Solid written and verbal communication skills
• Ability to be resourceful and proactive when issues arise
• Excellent organizational skills
• Multitasking and time-management skills, with the ability to prioritize tasks
• Customer service attitude
• High school degree: additional certification in Office Management is a plus
