Responsibilities
• Administration support
o attend meetings and prepare minutes of meeting
o synthesize meeting summaries into action logs (action, description, responsible person, completion time)
o type minutes of meetings
o follow-up and expedite actions and completion
o prepare and manage calendars
• Internal communications
o prepare draft documents
o write and type text
o research and / or draft graphics and visual supports
o coordinate and provide administration support for special projects and delivery, amongst multiple departments (IT, External Affairs, Communications, Project Disciplines, etc.)
• Project/JV communications
o host and participate in meetings between JV offices
o translate (English/Japanese) would be an asset
• Cultural initiatives
o support special projects
o coordinate, synthesize, and prepare learning materials (small group, large group, on-line learning) in coordination with subject matter experts
o coordinate tools, resources, logistics, and people for training and workshops
o administer attendance lists and personnel participation logs
o participate in committees - facilitate and coordinate actions, completions, amongst team-members globally
• Client initiatives
o support and administer Client programs and projects as required
o Provide administration and logistics supports (photocopying, prepare materials for attendees, etc.)
• Administer and manage databases and project electronic systems (excel, word, PowerPoint, SAP, Coreworx, Lotus Notes, Community/Connections pages)
• Support ad hoc requests for PPM Manager, Culture Manager, and PPM team members

• Moderate flexibility around work hours required to meet deadlines and engage in meetings and interface with global offices (Japan, China, Philippines)
