The Project Assistant reports directly to the Project Manager and is responsible for all administrative activities that must be performed to ensure timely and efficient project execution. Working together with the Project Management team and task force members, the Project Assistant is responsible for coordination of all administrative activities, which are described in the Project Administration Practice.
General Job Description:
- Provide administrative support in a team environment;
- Works closely with Project Manager, Client and project team;
- Perform a variety of tasks and administrative functions, including written and verbal communication;
- Administrative duties include, but are not limited to, schedule management, meeting coordination (including room reservations, catering, teleconferences and Teams/WebEx), report preparation, presentations, composing correspondence for signature, mail distribution, creating and maintaining electronic project files etc.;
- Organization of Social Project Events in- and outdoors;
- Coordinate global travel arrangements for maximum cost effectiveness to include processing via application and adhering to security travel advisories;
- Visa requests;
- Maintain contact lists;
- Expense Reports;
- Various administrative tasks that come with the daily business;
- Other duties as assigned.
Job Requirements:
- Full time 40 hours a week;
- Proficient in standard software used in MS365, creating spreadsheets and presentations, e-mail file management/storage and database management;
- Excellent interpersonal and communication skills, both written and verbal;
- Client (both in- and external) focused;
- Team Player with a flexible attitude;
- Good organizational skills;
- Handles stressful situations;
- Pro active;
- Fluent in English.
