Principal Job Duties & Responsibilities:
This position provides project technical and administrative support in a team environment. Working under the direction of the project administrative lead, performing all project administrative responsibilities as assigned.
• Plan, organize, and perform work assignments as directed.
• Technical and administrative duties include, but are not limited to preparation of reports, project correspondence, meeting/conference notes, presentations, and maintaining project document logs, email retention. Maintain project files in project databases.
• General duties include meeting coordination (arrange meeting space, send out meeting invites, order/setup catering), file/maintain electronic project files in accordance with project closeout and file retention schedule. Process travel authorizations, coordinate business travel (domestic and international), create expense reports, handle mail distribution, prepare/maintain project task force directory, prepare/maintain project standing meeting matrix, retain overtime authorizations. Review conference note log weekly and send out reminders to team members on outstanding approvals.
• Provide backup support for project administrative lead.
• Provide administrative support for project discipline leads.
• Assist with planning project functions to include socials, vendor lunches, specialized training, etc.
• Use the Internet for business purposes.
• Other duties as assigned.
Basic Job Requirements:
• The ability to communicate effectively with audiences that include, but are not limited to management, coworkers, clients, vendors, contractors, and visitors.
• Ability to attend to detail and work in a time-conscious and time-effective manner.
• Proficient in use of specialized software programs (Microsoft Office - Word, Excel, PowerPoint, Outlook, SharePoint; and other project related software programs).
• Excellent customer service skills.
• Excellent organizational skills, judgment, flexibility, with some latitude for independent judgment requiring the use of organizational, prioritization skills, decision making, analytical and negotiating skills.
• Must be a team player and demonstrate flexibility; must be able to work well both independently and as a member of a project team.
• Prefer 4+ years in administrative and/or project related experience.
• Maintain compliance with all applicable policies, procedures, and global standards.
• Adhere to and support Fluor’s Health, Safety & Environmental and Sustainability Policies
• Meet expectations on attendance and punctuality.
• This position will require the candidate to work in the Greenville office.
Work Schedule:
The position is full-time, in-office working the alternate work schedule. Monday through Thursday (7:30 am-5:30 pm) and work Friday (7:30 am-4:30 pm) with every other Friday off.
