Client Overview
The Client is a U.S.-based distributor and supply chain partner specializing in steel pipe and oilfield products for the energy sector. With a strong focus on OCTG, line pipe, and related services, the organization supports upstream oil and gas operations through reliable sourcing, inventory management, logistics coordination, and inspection solutions. Backed by industry experience and an established supplier network, the Client is known for delivering quality products, operational efficiency, and responsive customer support across domestic and international markets.
Role Summary
We are seeking a proactive and detail-oriented Admin Executive / Office Manager to manage daily administrative operations and ensure smooth office functioning. The role involves handling office management, vendor coordination, data management, and basic HR/admin support.
Key Responsibilities
• Oversee maintenance of office equipment and infrastructure
• Manage stationery, pantry supplies, and inventory
• Handle vendor coordination for services, repairs, and consumables
• Arrange travel bookings (flights, hotels, local transport)
• Organize meetings, team events, and customer visits
• Supervise housekeeping and office upkeep
• Maintain admin records, files, registers, and documentation
• Provide meeting support (scheduling, notes, virtual setup)
• Manage attendance records and reports
• Support Accounts team with documentation and payment follow-ups
• Perform additional administrative tasks as assigned
• Maintain and update sales, accounts, and supplier databases
• Ensure accuracy and timely updating of all records
• Source vendors and ensure cost-effective, timely service delivery
Qualifications and Experience
• Graduate in any discipline with 2–5 years of relevant experience
• Strong organizational and multitasking abilities
• Good communication and coordination skills
• Proficiency in MS Office (Excel, Word, Outlook)
• Basic knowledge of HR and administrative processes
• Detail-oriented with a problem-solving mindset
