The Project Administrator will support the project management team in the planning, execution, and completion of the project. This role involves coordinating administrative tasks, managing documentation, and ensuring smooth communication among all project stakeholders.
Roles & Responsibilities:
Documentation Management:
- Maintain and organize project documentation, including contracts, permits, and technical specifications.
- Ensure all project documents are up-to-date and accessible to relevant team members.
- Assist in developing project schedules and timelines.
- Coordinate meetings, prepare agendas, and record minutes.
- Track project milestones and deadlines.
- Serve as a point of contact for project team members, clients, and subcontractors.
- Facilitate effective communication among all stakeholders.
- Prepare and distribute regular project status reports.
- Assist in budget preparation and monitoring.
- Process invoices, purchase orders, and expense reports.
- Track project expenditures and ensure compliance with budgetary constraints.
- Ensure compliance with all safety and quality standards.
- Assist in the preparation of compliance reports and audits.
- Monitor project progress to ensure adherence to project plans and specifications.
- Identify potential project risks and assist in developing mitigation strategies.
- Maintain a risk register and update it regularly.
Qualifications:
- Bachelor’s degree in Business Administration, Project Management, or a related field.
- 10 years experience in project administration.
- Strong organizational and multitasking skills.
- Excellent communication and interpersonal skills.
- Proficiency in project management software and Microsoft Office Suite.
- Knowledge of EPCI processes
- Detail-oriented with strong analytical skills.
- Ability to work independently and as part of a team.
- Strong problem-solving abilities.
- Ability to manage multiple tasks and prioritize effectively.
