Here is an exciting opportunity to join our construction client in Edmonton as a senior document coordinator! In this role, you would be working with the project team for preparation and distribution of project and construction documentation, maintaining records, coordinating workflow, and communication with trades, sub-contractors, Project Coordinators, and Project Managers.
 
Job Duties
  • Create, organize, and maintain electronic and hard copy filing systems; ensure project files are complete and accurate during construction and for project archive purposes and project storage.
  • Provide direct administrative support to the project management team as directed.
  • Ensure electronic filing is completed on an ongoing basis and is current as per company standards on all platforms.
  • Coordinate printing and distribution of drawings and specifications as required for site and office.
  • Ensure the fulfillment of contractual obligations of project stakeholders regarding documentation. Includes issuance of subcontracts, project purchases, and insurance coverage. Coordinate the management of the various CCDC, ACA, and owner contracts.
  • Assist with project closeout items as required.
  • Participate in the maintenance of the Project Job Directory through the gathering of project data, project references, and other information as required.
  • Maintain accurate and concise records in the respective project management software and system.
  • Distribution of documents to appropriate project team members for notice, review and /or approval as well as transmit of documents and records to external parties as directed.
  • Maintain standards of documentation such as consistency with style guides, spelling, grammar, ensuring that required signatures are received and work with document originators to ensure accuracy and to resolve discrepancies
 
Qualifications
  • At least 5 years’ document management experience using a document management system
  • Must have a high level of attention to detail, excellent coordination & organizational skills, and the ability to prioritize demands to meet deadlines
  • Self-motivated and willing to take ownership of tasks
  • Must be able to work in a fast paced, deadline-oriented environment, with the ability to initiate improvements in processes and workflow
  • Intermediate to advanced computer skills including Microsoft Office, Excel, and web applications; Viewpoint Project Management Software knowledge is an asset.
  • Strong verbal and written communication skills
  • Understanding of contracts, construction contract types, and project administration processes
