Senior Administrative Assistant located in Lake Charles, LA
Provides general administrative support to a leader or department. Exercises discretion and independent judgment in managing flow of work. Requires full proficiency gained through job-related training and considerable on-the-job experience to perform a range of tasks under limited supervision.
Responsibilities / Duties
- Provides a wide variety of secretarial/administrative support to leaders, employees, or groups in the organization, including receiving, screening and directing incoming calls, visitors, mail and email.
- Uses business software applications (e.g., word processing, presentation and spreadsheet) to prepare correspondence, reports, presentations, agendas, minutes, etc.
- Maintains files, records, calendars and diaries.
- Arranges business travel, coordinates internal meetings and event arrangements, and/or tracks expenses
- Monitors and tracks expenses against budgets and provides reports to cost center owner or budget manager
- Maintains internal file shares and team communication mechanisms
- May act as the department focal point with external vendors, contractors, or service providers
Required Qualifications:
- A minimum of 5 years of administrative experience is required.
- Proficient in Microsoft applications: Word, Excel, PowerPoint and Outlook is required.
- Trustworthy and able to manage confidential information.
- Able to work in a fast-pace work environment and handle a variety of tasks simultaneously.
- Strong interpersonal skills. Must be comfortable communicating and interacting with a variety of people.
- A minimum requirement for this U.S. based position is the ability to work legally in the United States. No visa sponsorship/support is available for this position, including for any type of U.S. permanent residency (green card) process
Preferred Qualifications:
- Experience with the following software/applications is preferred: SAP, WebEDMS, Concur, Document Management Systems (DMS) and File Share Manager (FSM).
- Travel management experience, both domestic and international is also preferred.
- Experience with work orders/requisitions and purchase orders for day to day activities as well as capital projects and software licenses would be beneficial.
- Education:
- A minimum of a High School Diploma or GED is required.
- An associate degree or higher is preferred.
